Terms, conditions and refund policy
Please read these terms before booking. They apply to every Yatri on the booking.
1. Definitions
1.1 Agency means Dham Yatras. Yatri means each person registered for a yatra. Package means the tour confirmed in writing by the Agency, with its itinerary, inclusions and price.
2. Registration and booking
2.1 Submitting this form is a request to book. A booking is confirmed only when the Agency receives the booking amount and sends written confirmation (receipt, WhatsApp or email).
2.2 The booking amount is 25% of the total package cost per Yatri, unless the Agency states otherwise at booking. Seats, vehicles and hotels are allotted in order of confirmed bookings.
2.3 The balance is due at least 15 days before departure. Bookings made within 15 days of departure need full payment. If a balance is overdue, the Agency may release the seat and the charges in Section 6 apply.
2.4 Changes in government taxes, permit fees or fuel costs after quotation may be passed on at actuals, with notice.
3. Identity and government registration
3.1 Every Yatri, including children and infants, must carry an original government photo ID throughout the yatra.
3.2 Registration with the authorities is compulsory for Char Dham visits and may be required for other yatras. The Agency will help with it, but the Yatri must give accurate details and documents on time.
3.3 Names must match the ID exactly. Corrections after tickets or permits are issued are charged at actuals.
3.4 The Agency is not liable if a Yatri is refused travel or entry because of missing or invalid documents, and no refund is due.
4. Payments
4.1 Pay by UPI, bank transfer, cheque or cash, only to the account or QR code in Section 5 of this form or on the Agency's quotation or receipt. Collect a receipt for every payment.
4.2 GST and other taxes apply as per law and are shown on the quotation or invoice. A dishonoured cheque attracts bank charges and the Agency may cancel the booking.
5. Inclusions and exclusions
5.1 Services are limited to the confirmed Package. Unless stated in writing, these are not included: train and air fares, helicopter tickets, pony, palki or doli, puja and donations, personal expenses, tips, camera fees, insurance, and medical or evacuation costs.
5.2 Hotels, vehicles and meals may be replaced with equivalent or better ones when needed. Stays at high-altitude dhams are often simple, with limited heating and hot water.
5.3 Darshan and puja timings, queues and entry are controlled by temple committees and authorities. The Agency cannot guarantee darshan on a particular date or time.
6. Cancellation and refund policy
6.1 Cancel in writing by email or WhatsApp to the Agency's registered contact. The date and time the message is received is the cancellation date. Verbal requests are not accepted.
6.2 Refunds are calculated per Yatri on the amount paid for the Package, as per the table below.
| Notice before departure | Refund of amount paid |
| 31 days or more | 90% (10% service fee) |
| 15 to 30 days | 50% |
| 8 to 14 days | 25% |
| 0 to 7 days, no-show or after departure | No refund |
6.3 Third-party bookings already made (train or flight tickets, helicopter tickets, permits, pony or palki) are deducted first and follow the supplier's cancellation terms. The Agency passes on only what the supplier refunds, less its handling charges.
6.4 Refunds go to the original payment mode within 15 to 21 working days of the cancellation being confirmed, after bank or gateway charges.
6.5 No refund is due for unused services, early return, missed pickups, voluntary changes during the yatra, or a Yatri who is refused travel for health, documents or conduct.
6.6 A name change is allowed up to 7 days before departure, subject to supplier rules and handling charges at actuals. A date change may be allowed once, up to 15 days before departure, subject to availability and any price difference. Otherwise it is treated as a cancellation.
7. Cancellation or changes by the Agency
7.1 If the minimum group size is not met or the Agency cannot operate the yatra, it will inform Yatris at least 7 days before departure and offer a full refund of the amount paid or an alternative date.
7.2 The Agency may change the itinerary, route, order of dhams, vehicle or hotels for safety or operational reasons.
8. Weather, natural events and government orders
8.1 Hill and coastal routes are affected by landslides, snowfall, heavy rain, cyclones, road closures, helicopter suspensions, traffic regulation and limits on the number of pilgrims. Schedules can change at short notice.
8.2 In such events safety comes first. The Agency may delay, shorten, re-route or stop the yatra. Extra stay, food, transport or evacuation costs caused by these events are paid by the Yatris directly.
8.3 The Agency refunds only what it recovers from suppliers for unused services, after deducting expenses already incurred and its handling charges. No compensation is payable for missed dhams or darshan, delay or inconvenience.
9. Health and fitness
9.1 Some routes, such as the Char Dham, go above 3,000 m, where the air is thin and the weather cold. Treks such as Kedarnath and Yamunotri are long. Yatris must be medically fit and should consult a doctor before registering.
9.2 Tell the Agency about any medical condition. Persons with heart, lung, blood pressure, diabetes or mobility conditions, pregnant women and senior citizens travel at their own risk and should carry their medicines and medical advice.
9.3 The Agency may refuse to carry, or may stop at a lower altitude, any Yatri who appears unfit. No refund is due in that case.
9.4 Medical, ambulance and evacuation costs are the Yatri's responsibility. Travel and medical insurance is strongly recommended.
10. Transport, hotels and luggage
10.1 Pickup and drop are at designated points and times. Late arrival is the Yatri's responsibility. The vehicle will not wait beyond the notified time, to protect the group's schedule.
10.2 Hill roads are narrow. Drivers follow safety rules and may not drive at night or in bad weather. Seating is allotted by the Agency.
10.3 If a vehicle breaks down, the Agency will arrange a replacement as soon as reasonably possible.
10.4 Hotel check-in and check-out follow hotel policy. Yatris pay for any damage they cause to hotels or vehicles.
10.5 Carry minimum luggage. Extra luggage may be left at the base hotel. Luggage and valuables are at the Yatri's own risk.
11. Conduct
11.1 Follow the instructions of the tour manager, driver and local authorities, and be punctual.
11.2 Alcohol, tobacco, non-vegetarian food and intoxicants are not allowed in holy towns and temple areas. Do not litter, and respect local customs and temple photography rules.
11.3 The Agency may remove a Yatri who endangers safety or disturbs the group. No refund is due, and the return journey is at the Yatri's cost.
12. Children and senior citizens
12.1 Infants are under 5 years, children 5 to 11 years, adults 12 years and above, and senior citizens 60 years and above. Children must travel with an adult. Senior citizens are advised to travel with a companion.
13. Liability and insurance
13.1 The Agency arranges transport, hotels and local services through third-party providers. It selects them with reasonable care and is not liable for their acts or omissions.
13.2 The Agency is not liable for loss, theft, accident, illness, injury, delay or damage caused by events outside its control or by the Yatri's own negligence.
13.3 Where liability is established, it is limited to the amount paid to the Agency for the affected service.
14. Privacy
14.1 Personal data is used only to arrange the yatra and for government registration, and is shared with hotels, transport providers and authorities as needed. It is not sold.
15. Complaints, law and disputes
15.1 Report any problem to the tour manager immediately so it can be fixed on the spot. Written complaints must reach the Agency within 7 days after the yatra ends.
15.2 These terms are governed by the laws of India. Disputes are first settled by discussion, and failing that fall under the exclusive jurisdiction of the courts at the Agency's registered office.
16. Acceptance
16.1 Signing the declaration, or paying the booking amount, means the Yatri accepts these terms for every traveller listed in this form. The version in force at the time of booking applies.
